This page describes the purpose and operational model of the My Library Desk mobile application ("App") developed for library management. By registering or using the App, the library administrator and its members agree to the collection, storage, and processing of information as described below. We only collect data that is strictly required to operate, optimize, and manage the daily activities of the library. If you do not agree with any terms of this policy, please do not download, install, or register with the App.

Login Restriction Notice: Currently, the App supports Administrator login only. Regular library members (students, visitors, and workspace subscribers) cannot log in directly to the mobile application. If a library member attempts to log in, the App will notify them that member logins are not supported in the current version of the App.

1. Information We Collect

The App collects only the database records that are necessary to operate the library management platform. This includes information self-submitted by members, manually input by library administrators, or generated during seat and locker assignments:

2. How We Use Your Information

All collected data is processed and used exclusively to facilitate, optimize, and maintain smooth operations within the library management system. We do not use this data for profiling or advertising. Specifically, we use the information to:

  • Register and manage the library, its administrator account, and settings
  • Add, update, and manage member profiles with identity verification
  • Create and configure library shifts with pricing and timings
  • Assign seats and lockers to members and track availability
  • Record, display, and manage payment and subscription transactions
  • Track member active/inactive status and enrollment history
  • Generate internal reports for the library administrator
  • Send payment due reminders and membership expiry alerts

Processing these records helps ensure transparency in financial transactions, prevent locker booking conflicts, and manage seat configurations in real-time.

3. Data Storage & Security

Your data is hosted and stored on secure cloud database servers. We enforce strict administrative and technical measures designed to protect database records from loss, theft, alteration, disclosure, or unauthorized access in transit and at rest.

To ensure security, we employ standard protocols including:

  • Encrypted passwords
  • Secure API endpoints (HTTPS)
  • Token-based authentication
  • Server-side validation
Data Retention & Deletion: All member profiles, transaction logs, seat allocations, and shift records are preserved only for the duration of your active library registration. Library administrators can request complete, irreversible database erasure at any time, which we will execute within standard operational timelines.

4. Sharing of Information

We value your trust and maintain strict data boundaries. We do not sell, rent, lease, or share your personal database profiles, contact records, or transaction histories with third-party advertising companies or target marketing platforms. Access to your information is strictly limited to the following scenarios:

  • By the authorized library administrator through the App
  • When required by applicable law or a valid court order
  • To prevent fraud or protect the security of the App

5. Your Rights

We believe in giving you complete control over your personal records. Depending on your local jurisdiction and system role, you hold the following rights regarding the database profiles associated with your account:

  • View your data: Access the information stored in your profile at any time.
  • Update information: Correct or modify any inaccurate or outdated information.
  • Request deletion: Ask for your data to be purged from the databases.
  • Export records: Retrieve a copy of your records for external use.
  • Withdraw consent: Terminate further processing of your records.

6. Children's Privacy

My Library Desk is designed and intended for use by students, library visitors, and workspace subscribers. It is not directed at children under the age of 13. We do not intentionally or knowingly collect, store, or solicit personal information from minors. If you are a parent or guardian and believe that a child has submitted personal details to the App, please reach out to us immediately, and we will take swift action to purge such records from our databases.

7. Changes to This Policy

We reserve the right to revise or update this Privacy Policy at any time to reflect software changes, security enhancements, or legal standards. Whenever updates occur, we will post the revised document on this page and refresh the effective date at the top of the policy. We recommend that administrators and members review this page periodically to stay informed about how we safeguard information. Your continued use of the App following the publication of changes signifies your acknowledgment and acceptance of the revised clauses.
